RECEPTIONIST

Receptionist Summary:
Receives callers at establishment, determines nature of business and directs callers to destination. Answers inquiries and obtains information for general public, customers, visitors and other interested parties. Provides information regarding activities conducted at establishment, location of departments, offices and employees within the organization. Collects and distributes mail and messages. May perform variety of clerical duties and other duties pertinent to establishment.

Receptionist Education and/or Experience:

  • A high-school diploma or GED is required.
  • Associate’s degree (A.A.) or equivalent from two-year college or technical school preferred; or six months to one-year experience and/or training; or equivalent combination of education and experience.


Responsibilities of Receptionist:

  • Operates telephone switchboard to answer, screen, and forward calls; takes messages and provides information.
  • Greets visitors, determines purpose of visit, directs them accordingly, and issues visitor passes.
  • Provides general information about the organization, departments, employees, and services.
  • Handles incoming/outgoing mail and faxes; operates postage meter and maintains related logs.
  • Performs clerical duties, maintains visitor schedules, communicates employee absences, and assists with customer inquiries or complaints.


Qualifications of Receptionist:

  • Knowledge of principles and processes for providing customer and personal services.
  • Knowledge of administrative and clerical procedures and systems.
  • Knowledge of modern office practices, procedures and equipment.
